Proposal and Marketing Coordinator

The Proposal and Marketing Coordinator enforces corporate branding standards as well as protects the branding requirements of our partners and subcontractors. The Proposal and Marketing Coordinator is responsible for producing content and materials for prequalification submittals, internal marketing initiatives, presentations and various other proposal and marketing related collateral. The Proposal and Marketing Coordinator will assist with trade shows, events and business development efforts.

What you’ll do:

When assigned to a pursuit effort, the primary responsibility of the Proposal and Marketing Coordinator is to support the Proposal Manager and pursuit team. The Proposal and Marketing Coordinator will assist in the development of qualifications content and the content of the technical materials for the proposal to ensure timely completion of a compliant document. These activities include early preparation work, proposal development, final production and post-production activities. The Proposal and Marketing Coordinator is also responsible for the development of internal marketing materials as well as assisting with external marketing efforts.

Proposal Activities:

• Creates qualifications resumes, project profiles, organization charts and draft narrative content for non-technical sections

• Work within InDesign documents to create, input and edit content, adjust content layout and provide general editing and formatting

• Work with the Proposal Manager/Project Sponsor/Lead Estimator to support the development of the preparation of responses to RFI’s, RFQ’s and RFP’s

• Organize and document communications and meetings with pursuit team members

• Keep Proposal Manager informed about status of progress on sections, adherence to schedule and quality of composition

• Participate in proposal reviews; edit content for proper grammar, logic, and readability; and polish document to incorporate missing strategy elements

• Work with the pursuit team to ensure all proposal development requirements are met and a compliant proposal is submitted.

• Responsible for and oversees final printing and assembly for qualifications or proposals

• QC of final printed and electronic copies

• Ensures appropriate delivery methods and contingencies have been secured to submit the qualifications or proposal by its deadline

• Responsible for maintaining proposal files, including library copies, CDs, archives and input into the Share Directory of classic graphics and project write-ups

• Creates the presentation materials (boards, PowerPoint presentations, placemats, name tags, etc.)

Marketing Activities:

• Manage online prequalification sites – analyze and identify required information and work with internal team members to maintain prequalified status

• Analyze and interpret Requests for Information (RFIs) and Requests for Qualifications (RFQs) and identify requirements for submittals

• Uphold brand standards at all times

• Create internal flyers and marketing materials

• Create company-wide communication and marketing materials and distribute such as a monthly newsletter

• Job site photography and internal photography

• Creation and maintenance of resume database

• Creation and maintenance of project profiles

• Creation of internal and external presentations

• Participate in the creation of materials for events and tradeshow booths

• Assist in the creation and editing of branded materials, advertisements and brochures

We’re looking for:

• Applicant who is able to manage responsibilities independently with minimum or no day to day direction and supervision in performing expected duties and responsibilities

• Able to effectively communicate with and work with pursuit team members outside of the proposal group, including joint venture partners, designers and subcontractors in a positive and collaborative manner without conflict

• Preferred - Understands desktop publishing, presentation and other marketing related software, especially Adobe CC, including InDesign, Illustrator and Photoshop, Microsoft Office Suite, Outlook, SharePoint, FTP sites, video conference/sharing and other marketing-related applications. InDesign, Adobe Pro and Word are especially important

• Preferred- Basic understanding of construction and/or engineering industry and ability to learn new construction and engineering concepts that are presented to you during the course of pursuits.

• Functions effectively as part of a team

• Able to work with upper management within Skanska and with other companies

• Able to maintain discretion and confidentiality at all times

• Advanced skills in time management, organizing, writing, proofreading and editing

• Able to multi task and meet aggressive deadlines

• Strong writing skills including an understanding of the elements of style and English grammar

• Ability to manage, plan, coordinate and organize one’s own and other’s work schedules and products

• Able to focus people, deal effectively but calmly with others, and explain proposal and marketing concepts to help team members understand their responsibilities

• Able to be proactive in the data collection process and identify areas needing additional support early in the process

• Able to be collaborative

• Preferred - Minimum of three (3) years of marketing and/or proposal development experience

• Preferred – Associates degree in marketing or graphic design or equivalent years of experience
