We are looking for a PA to join out facilities management team at Northwood HQ to support the Commanding Officer (CO).

  • Manage the CO’s diary, office and electronic calendar including liaising with internal and external agencies, and book new joiners /leaver’s appointments with the CO as appropriate.
  • Create briefing packs containing visit instructions, travel documentation and additional reading material as directed.
  • Arrange meetings chaired by the CO and take minutes as required.
  • Attend regular meeting with the Line Manager to discuss all relevant matters arising.
  • Ensure correct IT is available and in place for planned briefings in the CO’s office.
  • Book conference rooms in advance of meetings.
  • Ensure planned visitors to the site have necessary clearances in accordance with the authority regulation and escorting as required.
  • Ensure all travel arrangement are booked in a timely fashion, and organise transport for official calls and functions.
  • Assist in organising CO Private Dining events and off-site team events.
  • Attend off-site community engagement events as required by the CO.
  • Type any official correspondence by the CO.
  • Compile, monitor and publish Weekly Orders. Compile, check and distribute NWD HQ notices through e-mail/intranet.
  • Maintain the latest distribution of site wide Co-ords.
  • Assist in coordinating Bunker Tours and Private Lunches with appropriate internal and external organisations.
  • Monitor the CO’s and Adjutant’s emails in their absence.
  • Support to the NWD HQ staff in the complication of duty tables, publishing ongoing changes.
  • Co-ordinate and manage of 2x NWD HQ Oyster cards.
  • Record and take appropriate action with classified documents in accordance with Authority regulations.
  • Coordinate and manage White Space Coaching Training Courses.
  • Undertake any other reasonable tasks that may arise from time to time as required by your Line Manager.
  • Attend professional development training courses to improve and maintain best working practices relevant to the core skills required.
  • Attend Skanska related Team Talks/Safety Stand ups/downs or any other associated meetings deemed necessary by Skanska or the client.



We’re looking for:



  • PC Literate
  • Good customer liaison background
  • Have work pride, ethos, positive attitude and the ability to preserve confidentiality.


  • Experience of working on ModNet.
  • Office Administration background.
  • Experience of working with Military personnel and military protocol.
