Administrative Assistant has strong organizational and time management skills, as well as strong communication and client service skills. The main duties include assisting and supporting the Commercial Development (CDUS) New York office staff as well as the Communications Leadership Team nationally in terms of general administrative duties, office administration, calendar management, travel, event planning, expense reports, and organizing meetings.


We’re looking for:

  • Positive attitude, passionate and hands-on about supporting and assisting others
  • Well-developed social and cooperation skills
  • Strong written & verbal communication skills
  • Computer knowledge and efficiency, including Power Point, MS Office and Excel
  • Proficient in Outlook calendar and video conferencing, as well ability to trouble shoot basic iPhone and laptop issues
  • Functions independently but also effectively as part of a team
  • Ability to maintain discretion and confidentiality at all times


What you’ll do:

Provide support with various administrative and office management tasks including:

  • General administrative responsibilities as deemed appropriate and necessary (e.g., distribution of meeting updates, ordering supplies, electronic filing, expense reports, budgeting etc.)
  • Calendar management
  • Coordinate domestic and International travel arrangements
  • Organizing local and virtual meetings and conference calls
  • Coordinate meetings / visits for Skanska colleagues from other offices
  • Order / pick up lunch for meetings as requested
  • Managing incoming and outgoing mail/packages
  • Working with office maintenance to maintain company equipment
  • Organize and plan events
  • Assist in the planning and administrative tasks for the USA management meeting
  • Manage Skanska’s job site signage vendors and coordinate the( creation of new signage
  • Serve as logistics point person on all videos managed by USA Communications
  • Work with CDUS Regional Executive Assistant’s as needed on various projects
  • Support and liaison with the Skanska / NY office administrative team, including reception / front desk relief


High School Diploma required, Bachelor’s Degree desired

4+ years of relevant experience, including coordination / event planning
