The Project Controls Administrator is largely responsible for the logging and distributions of all relevant project controls documents and project accounting for the project teams. The Project Controls Administrator works under direct supervision.


What You’ll Do:

  • Act as an intermediary between estimating, operations and accounting in order to manage various project financial aspects including reporting requirements, progress status, new impacts, etc.;
  • Aid in development/implementation of project controls standards and procedures;
  • Review progress, accuracy and completeness of coding of timesheets;
  • Assist with collection of daily project quantity progress and maintaining spreadsheets;
  • Aid Managers in preparation of daily, weekly, monthly and quarterly project forecasts;
  • Assist with monthly billings to the client and internal accounting;
  • Assist in the preparation of cost proposals for additional work including tracking Time & Material work;
  • Review project equipment reports for accuracy and completeness of coding of equipment cost;
  • Timely and accurate data entry and maintenance in accounting system including cost coding, purchase orders and quantity entry while working with project team to ensure effectiveness;
  • Assist in project close-out process;
  • Assist with administering Procore Document Management software for all upcoming and active projects;
  • Act as a liaison between estimating and operations to provide relevant historical performance data;
  • Assist in maintaining effective relationships with internal and external clients;
  • Ensures knowledge of staff movements in and out of organization;
  • Ability and willingness to perform general administrative clerical support duties and serve as backup to current administrative assistant with various administrative responsibilities;
  • Demonstrate commitment to an Injury-Free Environment and Skanska Safety and Health Management Programs.

We’re Looking For:

  • Computer proficient, including Microsoft Office products with strong Excel skills, and ability to adapt to new innovations and processes;
  • Knowledge of Certified Payroll;
  • Strong written, communication and problem solving skills;
  • Ability to multi-task;
  • Professional personal presentation with customer service orientation ;
  • Functions effectively as part of a team or individually on ad hoc project basis as needed;
  • Ability to understand and follow directions;
  • Good time management and organizational skills;
  • Strong Initiative and dependability;
  • Ability to maintain discretion and confidentiality at all times;
  • Associates degree in business administration, accounting or equivalent preferred, but experience may be considered in lieu of;
  • 5+ years of industry experience required.


Work Environment/Job Conditions


This job is performed both in the office and in the field. Field work requires experience and confidence working in and around heavy industrial equipment, systems and conditions is required. Activities and responsibilities require frequent sitting (often working on a computer), frequent driving, flying, walking, standing, light lifting, bending, and reaching. Due to computer usage, there may be repetitive motions of the hands and wrists.
