The Field/Document Control Administrator assists and supports the project team members and is responsible for general administrative duties, including maintaining accurate and complete records of project documents. The individual shall be skilled in the use of technology to complete their day to day tasks and is largely responsible for the logging and distribution of all relevant documents to the Project team.  

   

What You’ll Do:

  • Review time sheets, wage computation, and other information to detect and reconcile payroll discrepancies;
  • Verify attendance, hours worked, and pay adjustments, and post information onto designated records;

  • Compile employee time, production, and payroll data from time sheets and other records;

  • Issue and record adjustments to pay related to previous errors;

  • Process and issue employee paychecks and statements of earnings and deductions;

  • Process paperwork for craft employees;

  • Compute wages and deductions, and enter data into computers;

  • Keep track of leave time, such as vacation, personal, and sick leave, for employees;

  • Distribute and collect timecards each pay period;

  • Complete time sheets showing employees' arrival and departure times;

  • Process Accounts Payable invoices;

  • Perform general administrative duties such as typing, copying and filing;

  • Coordinate office communications, including routing phone calls, correspondence, mail, packages, deliveries, and calendars;

  • Inventory and ordering of office supplies;

  • Inventory, operation and upkeep of office equipment;

  • Maintain filing systems;

  • Create and maintain checklists, forms, quality matrix, reports and tracking spreadsheets for

  • Quality items on the project as needed;

  • Perform document control for quality submittals and monitor the project specific quality plan, procedures, & testing as needed;

  • Assist in monitoring submittals on the project;

  • Maintain submittal logs and distribute submittals to project team;

  • Assist with tracking sustainability by maintaining tracking logs;

  • Coordinate with contract administrator to monitor subcontract issuance and insurance certificate approvals and expiration;

  • Log and maintain Project permits;

  • Maintain Project’s meeting minutes;

  • Compile weekly and monthly outstanding submittals log.

  • Knowledge of document controls to learn and implement within 30 days of hire;

  • Ability to coordinate and interact with Client administrative document control personnel on a daily basis;

  • Associate Degree or Vocational education desired but experience may be considered in lieu of.
